How we work: from first call to launch

Wondering what it is like to work with a team that builds custom systems?

We hear this a lot, especially from business owners thinking about their first CRM, ERP or internal automation tool.

The short answer:

you do not need to be tech-savvy to get started.

In this post, we cover:

  • how we work with clients, from first contact to launch,

  • what the process looks like step by step,

  • and how we keep it clear and comfortable, even if it is your first IT project.

Step one: let's talk

It starts with a short, informal conversation.

We ask questions, listen and look into your challenges as a technology partner, not a vendor.

What do we want to know?

  • How does your business work?

  • What slows you down?

  • What is done manually?

  • Have you used any systems before?

You do not need all the answers. Tell us what hurts, and we will help find a solution.

Step two: needs analysis & solution concept

After the call, we review what we heard internally and put together a concept.

We often sketch simple mockups and break down the logic and flow of the system.

At this stage, you receive:

  • a feature outline,

  • a plan with stages,

  • an estimate of time and cost.

You will know exactly what you are getting into before we start.

Step three: UX/UI design

Once you accept the plan, our designers start on the interfaces.

We care about usability as much as functionality, so we aim for layouts that are modern and intuitive.

We review every screen with you, so you take part in the design instead of watching it.

Step four: development

This is where the building starts.

Our backend and frontend developers build the application.

We work in iterations:

  • modules are built one by one,

  • you get access to a demo or test version early,

  • we collect your feedback and adjust as we go.

You are never left in the dark. You are part of the team.

Step five: testing (QA)

When features are ready, our QA team takes over.

We test the system on different devices and use cases, simulate real situations and catch issues before they turn into problems.

The result:

a product that is fast, solid and free of everyday annoyances.

Step six: launch & support

Once everything is approved, we help you launch.

We provide:

  • technical setup and configuration,

  • staff onboarding or training,

  • help with integrations (email, calendar, billing tools and others).

We do not hand over the system and disappear. If you need us later, we act as your extended IT department.

Clear communication

We use tools like Slack, Notion, Google Meet and Zoom,

but we adapt to whatever is comfortable for you.

We do not speak only code. We speak plain language.

A real partnership

Our goal is not to build the system and vanish.

We want to create something that changes how your business works.

Good software can free up your time, your team and your future.

Final thoughts

Working with us means:

  • a clear, step-by-step process,

  • plain language, no jargon,

  • flexibility and real technical support,

  • business value you can feel.

Not sure where to start? Just reach out.

The first conversation is free, and it may change more than you expect.
